Wahoos at Hunter Oaks - Thu 6/9 at 5:15PM
Wahoos families,
Please read this entire email as it contains lots of important information!
Results from Time Trials are available on the Wahoos team website (here) and can be viewed in the SwimTopia App.
WAHOOS @ HUNTER OAKS: This is our first away meet in over 2 years! Hunter Oaks is a large team with more than 200 swimmers. They plan to use the SwimTopia app with live updates during the meet like we did at Time Trials. Using the mobile app will allow you to see the events and heats in progress, and swimmer times as they are scored.
Thursday Schedule:
Morning Practices begin. Practice times are shortened just for Thursday since we have an evening meet.
9:00-9:45 for 10 and under
10:00-10:45 for 11 and over
Evening Swim Meet at Hunter Oaks
5:15 – PLEASE ARRIVE BY THIS TIME! Parking is limited so the earlier the better.
5:30 – Team meeting – by playground. Follow coaches over.
5:30 – Timers meeting by the baby pool
5:40 – Wahoos warm-up
5:40 – Stroke and turn volunteers meet by the baby pool
6:00 – Meet starts
10:30 – Estimated meet finish
ADDRESS: 815 Beckford Glen Drive, Waxhaw
PARKING: Limited parking near the pool and club house so try to arrive early. Park along ONE side of Beckford Glen (you will see signs on one side where no parking is allowed) and fill the parking lot at the clubhouse. The front circle must remain clear for the food trucks.
WAHOO SEATING AREA: Wahoos will be on the “away” side under the freestanding pavilion located at the end of the pool. The deck is not huge, so they do invite and encourage spectators to also set up outside the pool deck on the shaded hill behind the starting blocks. It is a grassy area, so blankets and chairs are welcome.
FOOD & BEVERAGES:
- 3 food trucks will be on site:
- Asian B on Wheels
- The Hog N Dog Too
- TRUE Crafted Pizza
- The concession stand will be open and is located inside the pool deck. It sells candy, chips, drinks, and ice pops.
- You can also bring food or have deliveries made to the pool.
- Reminder: NO ALCOHOL is permitted during GCSL swim events/meets. This is grounds for team disqualification in the GCSL by-laws.
MEET ENTRY REPORT is available here OR view it on the SwimTopia app or team website.
- REVIEW THE REPORT to confirm your swimmers are listed.
- If your swimmers are unable to attend, make sure they are NOT listed.
- Relays are briefly explained at the bottom of the meet entry report.
- Email Coach Nathan or Joe Guy ASAP there is an issue.
- Relays are swum in events 3-12 and 61-70. If your swimmer is listed for a relay and will not be there for the start of the meet or able to stay to the end of the meet, please let Coach Nathan know ASAP as he will need to make relay changes.
HEAT SHEET will be emailed as soon as it’s available (hopefully by midday) Thursday. It shows events, heat, and lane assignments. It will also available on the SwimTopia App.
VOLUNTEERS
- We have all volunteer positions filled for this meet – Thank you! If you need to drop out of your volunteer job please email Cathy Osmera ASAP so she can try to refill the job before the meet.

REMINDERS
- All swimmers: Write their first and last names on their back, arm, or cap. Thank you to everyone who did this for time trials. It is even more important during an away meet.
- All swimmers: Write their events/heats/lanes on their arms or legs. If this is your first time doing this any veteran parent will be happy to help.
- Caps: Swimmers are NOT permitted to wear caps from year-round or school teams at GCSL meets. They will be asked to remove it or turn-it inside out. Please wear your Wahoos cap. Swimming with a School or Year-round team cap can result in DQ (disqualification).
- The GCSL requires swimmers (who aren't racing) to stay out of the pool (no dangling legs, no dips in the shallow end) during the meet. The kiddie pool is also closed during meets.
- Swimmers should NOT be behind the blocks unless they are lined up for their event.
- DO NOT RUN ON DECK! Remind your swimmers that when their event is called to report to clerk of course they will have plenty of time to walk at a normal pace to that area.
- We swim in the rain. Assume we’re swimming unless you receive an email prior to the meet stating otherwise.
SPORTSMANSHIP is a huge part of our team. We want the Wahoos to be competitive AND celebrate everyone’s individual success, both among fellow Wahoos and competing teams. We encourage our swimmers to:
- Wish their competitors good luck
- Wait in the water until the last swimmer in the heat arrives at the wall
- Congratulate fellow competitors at the end of a race
- Mark their bodies only with writing that is swimming related and positive in nature (“Go Wahoos!” is positive whereas “Eat my bubbles!” is not)
- Be gracious hosts at home meets and well-behaved guests when away

- If you do not RSVP for your swimmer by the deadline, they may not be eligible to swim at the meet. Coaches must coordinate, and submissions are due to the league ahead of time.
